South Africa Incentive Travel

Inconnection managed an incentive travel trip to South Africa for a client in the IT sector to reward their channel partners. The client wanted to create a once-in-a-lifetime experience for their guests to thank them for outstanding sales.

A multi-service approach was adopted to give the guests a fully bespoke and tailored experience. This included a specific, co-branded event registration site. The site included all the relevant details the guests would need to know, from hotel information, activity options and travel and flight information. An Agenda page gave a full, day-by-day breakdown of the trip, including linking to each venue. The Accommodation tab included a deep dive into the hotel specification, plus a gallery of images for guests to browse prior to departure. Finally, all the crucial flight information was consolidated in one tab.

A bespoke pre-event gift send was arranged for each guest including co-branded hat, t-shirt, and satchel bag for the trip, as well as the key travel essentials such as an eye mask, travel adaptor, and a sweets and mint pack for the plane journey.

The guests were greeted at London Heathrow by an Inconnection team member to ensure a smooth check-in for the flight to South Africa. A member of the Inconnection team had been sent in advance to ensure everything was prepared for the guest's arrival in South Africa, including liaising with the hotel and restaurants, ensuring the welcome gifts were ready, which included South African treats and authentic shwe shwe bag, in the guest's hotel rooms, and meeting them at the airport on arrival.

On arrival, one of the Inconnection team met the group at the airport with porters to assist with luggage. A 32-seater coach was used for the transfers to ensure comfort, providing 2 seats for each guest, plus on-board WC, TVs, A/C, and an on-board fridge.

The group stayed at Kloof Street Hotel in the centre of Cape Town and had a staff member dedicated for getting them checked in smoothly and efficiently, minimising waiting times. Passports copies had been sent in advance and keys pre-prepared to ensure a swift check in. Porters were also on-site at the hotel to take luggage to the guest’s rooms.

During the stay the guests got to experience several iconic South African activities and excursions, including chocolate and wine tasting and a delectable 3-course lunch at Groot Constantia, sunset drinks on Table Mountain, penguin paddling at the iconic Boulders Beach, a Big 5 game safari, and leisure time at the waterfront. Guests also enjoyed fine dining at restaurants such as Gold, Bungalow, and Waterside among others.

Extra attention was paid to ensuring guests enjoyed a truly special experience during the duration of the trip. A dedicated tour guide was present for the duration of the trip, providing the group with local knowledge and entertainment during the coach journeys to the various venues. A contact had been arranged at each venue to ensure guests got a warm welcome and VIP treatment throughout.

The team also ensured the on-site birthday was properly celebrated with a birthday welcome platter in the hotel, special dessert arranged at lunch, and drinks for the entire table at dinner.

Finally, a farewell gift of a beaded animal was given to each guest, corresponding to their favourite of the African Big Five, as a memento of their time in South Africa.
